Girls Rock NC is looking for a Communication and Coordination Manager (internally known as “Team Coordinator”) who can oversee the communication and collaboration among our teams.

As an organization fighting capitalist models within non-profits, we intentionally strive to keep the hours and responsibilities for staff at a minimum. A majority of the work that happens in our organization is divided up among unpaid volunteers, whether that be seasonal summer camp volunteers, members of our Board of Directors, or people who volunteer their time to assist with our year-round operations.
Our current Team Coordinator is transitioning out of their position after working with GRNC for 7 years. Job Title: Communication and Coordination Manager (“Team Coordinator”)
Objective: To oversee the communication and collaboration among our volunteers, teams, and community members
Location: Hybrid-Remote; applicants should be based in the Triangle region of North Carolina or surrounding areas

Hours: 10-20 hours per week (hours fluctuate according to season)
Compensation: $25/hr + $250 health stipend per month

Communication and Coordination Manager
Girls Rock NC is looking for a Communication and Coordination Manager (internally known as “Team Coordinator”) who can oversee the communication and collaboration among our teams which are composed of volunteers, seasonal contracted workers, and board members. Teams within the organization vary in focus, size, scope, and other factors. The Team Coordinator ensures that all teams have the necessary tools and resources they need to be successful and reach their goals. The individual in this position will be responsible for managing various communication platforms and channels, such as WhatsApp, Google Groups, and email, to keep everyone informed and engaged. In addition, they will facilitate recurring meetings, assist team leaders with their agendas and goals, and form and disband teams as needed.
Role Description:
As the GRNC Communication and Coordination Manager, the ideal candidate will use their exceptional communication and organizational skills to ensure the smooth operation of our volunteer-based organization. As the main point of contact for volunteers, staff, and leadership, the candidate will conduct hourly check-ins to ensure responsive and thorough support to all teams and conversations via email, WhatsApp groups, and Google Groups.
This role is responsible for both direct and mass-mail communications, including sending updates in the announcement threads for volunteer opportunities, inter-team collaboration, and event countdowns. The successful coordinator will continually check the responses to volunteer interest forms and match potential volunteers with suitable opportunities based on their skills, availability, and preferences, and will have a great track record of volunteer retention. This role will mindfully facilitate community integration, giving volunteers a helpful, service-oriented introduction to team facilitators and members, while exemplifying our organization’s guiding principles.
The person in this position is one of two part-time paid year-round roles at GRNC. This organization operates primarily on the combined effort of unpaid volunteer work and seasonal contracted work.
Facilitation and Project Management:
This role will be expected to be proactive, and communicate frequently with team facilitators, volunteers, board members, and staff via WhatsApp, Google Groups, email, and phone. Daily communications will most commonly fall under the umbrella of answering questions, providing directions, connecting members to one another, and helping to resolve any issues the staff may encounter. Twice a month, the coordinator will update the organization’s internal database with the latest information on our volunteers, teams, projects, and assets.
In a given week, the coordinator will communicate with each team’s facilitator(s) to assist with the scheduling of weekly team meetings and the creation of meeting agendas. At the end of each meeting, the coordinator will send out a T/T/T (Task/Talent/Timeline) document, summarizing the ongoing action items for the team. Recruitment of new facilitators for each team will be led by this role as needed. The coordinator will be in attendance of the first three meetings of a new team or new facilitator to ensure seamless transition, and to provide guidance and support.
Long-term, the coordinator will maintain a bird’s eye view of the organization’s programs, participants, and volunteers, and keep track of their goals and deadlines. This role is responsible for tracking and occasional delivery of assets across GRNC locations, including library loans of gear. This position will check in with the gear team bi-monthly to match updates with storage inventory. At monthly board meetings, this individual will facilitate discussion of the progress and challenges of these ongoing projects. Annually, this role is in-person at events and programs organized by GRNC. This includes one large fundraising program for adults, and one multi-location program for youth. In-person hours are subject to change to reflect the event schedule; the in-person requirement of this position is estimated to be around one and a half months out of the year.
The successful candidate will exercise fluency in project management, not getting too involved in any particular project, but rather, making sure people stay on track with their tasks and timelines.
Responsibilities:
Administer WhatsApp groups and Google Groups for the organization
Manage sharing settings and organization of Google Drive folders
Send updates in announcement threads for volunteer opportunities, new teams, etc.
Check responses to volunteer interest forms and match them with suitable opportunities within the organization
Message people directly to get them plugged into volunteer opportunities that are best for them and provide follow-up check-ins
Respond in a timely manner to volunteer inquiries received from multiple communication channels including email and text message.
Recruit facilitators for each team
Be available for if/when facilitators have questions or need filling in
Schedule and facilitate weekly Core Team meetings
Send out T/T/T (Task/Talent/Timeline) at the end of meetings
Assist team facilitators with the creation of agendas and goal-setting
Attend the first few meetings of a new team or new facilitator to ensure everything is going smoothly
Maintain a bird’s eye view of the organization’s programs, participants, and volunteers
Exercise project management to ensure members stay on track with their goals and deadlines
Requirements:
Based in the Triangle region of North Carolina or surrounding areas
Access to a personal smartphone that can download and use WhatsApp
Applicants must be legally allowed to work in the state of North Carolina

Ability to plan both long- and short-term goals with ease

Stays connected within the GRNC community, especially with digital communications, while maintaining appropriate work-life boundaries

Girls Rock NC is able to provide a usable laptop as well as an office space with access to Wi-Fi. The current office space we are able to provide is not accessible by wheelchair or mobility aid.
Prior experience in a similar role is not required.
